Sales Quotes
Sales quotes are formal offers to customers for products or services. They can be converted to sales orders when accepted.
Creating a New Sales Quote
- Search for Sales Quotes (Alt + Q)
- Click + New
- Fill in header information:
- Customer No. - Select existing customer
- Quote Date
- Due Date
- Shipment Date (if applicable)
- Add line items:
- Click Lines section
- Enter Item No. or Description
- Enter Quantity
- Unit Price (auto-fills from item card)
- Verify Line Amount
- Review totals at bottom
- Click Save
Sending a Quote to a Customer
- Open the sales quote
- Click Print/Send in the ribbon
- Choose delivery method:
- Email - Sends PDF via email
- Print - Prints physical copy
- PDF - Saves as PDF file
- Review and send
Converting a Quote to an Order
When customer accepts the quote:
- Open the sales quote
- Click Make Order in the ribbon
- System creates a sales order automatically
- The original quote is marked as converted
- Navigate to the new sales order to continue processing
Quote Status
| Status | Description |
|---|---|
| Open | Quote is active and can be modified |
| Converted | Quote has been converted to an order |
| Archived | Quote is closed without conversion |
Editing an Existing Quote
- Search for and open the quote
- Make necessary changes to header or lines
- Click Save
- Re-send updated quote if needed
Best Practices
- Include detailed descriptions for custom items
- Verify pricing before sending to customer
- Set realistic dates for delivery/shipment
- Follow up on outstanding quotes regularly
- Archive old quotes that won't be converted
